That combination rules out a lot of design ideas.

Start with the information hierarchy

Decide what matters in what order before you open a design tool. For a student card, the order is usually:

Name — the largest text on the card.

Photo — big enough to recognise, small enough to leave room.

Institution — so anyone glancing at it knows who issued it.

Student number — currently the second thing a librarian or exam invigilator looks for.

Course or department — useful for exams and department-specific access.

Expiry date — the detail people forget, and the one that causes the most trouble at a door.

Layout that works at card size

An ID-1 card is 85.6 × 54 mm — smaller than most people picture. At that size:

Two type sizes are enough. One for the name, one for everything else. A third size just looks untidy.

Keep the photo on the left. It matches how people read cards, and it leaves a clean column for text.

Set the institution once, usually as a header strip or a line above the name.

Leave a quiet area. A logo needs breathing room; a logo jammed against a photo reads as clutter.

Keep 3 mm clear around the edge for trimming.

Colour

Institutional colour schemes often include a very dark blue or a mid-grey. On a small card, both can swallow the text. Two habits help:

Use the strong colour as a stripe or a header, not as the background behind the text.

Check the text contrast. Dark grey text on a mid-blue background is the single most common legibility problem on student cards. If in doubt, put the text on white.

If cards are printed by different suppliers over several years, remember that colours drift between print runs. A design that depends on two near-identical blues will look inconsistent by the third batch.

Photos

Crop every photo to the same aspect ratio — 3:4 works well — and align them to the same position. Nothing makes a set of cards look more amateur than a row of heads at different heights and sizes. For a production run, ask for photos taken to a single specification rather than cropping whatever people send you.

Numbering and machine-readable elements

A student number needs to be typed correctly, which means it should be in a monospaced or at least very clear typeface, with no odd characters. If you add a barcode or QR code:

give it clear space around it — scanners need quiet margins;

keep it at least 10 mm wide so cheap scanners still read it;

make sure whatever it encodes is something the institution controls, not a public URL that can change.

Printing and durability

PVC cards last years and take a proper card printer. Best for a full cohort.

Printed and laminated paper is the cheap option. It works for short courses, but the lamination must cover the whole card edge to edge or it peels.

Consider hole position if cards are worn on lanyards. A punched hole in the wrong place can cut through the photo or the student number.

A ten-point checklist

Name is the most prominent element.

Photo is cropped to one consistent ratio.

Institution is clearly identified.

Student number is readable and correctly formatted.

Expiry date is present.

Text contrast passes an informal squint test.

Nothing important sits within 3 mm of the edge.

Barcode or QR code has quiet margins.

Card size is ID-1 unless an existing system requires otherwise.

There is a documented process for replacements.

Making the cards

For a small course or a club, ID Card Maker on Android covers the whole job: pick a template, add the photo and details, export a PNG or PDF, and print. For a full institution with hundreds of cards a year, you will want a card printer and a database — but the design decisions above are the same either way.

A student card has to be readable at a glance, survive a few years in a wallet and cost almost nothing to replace.
